About the Role

The International Labour Organization (ILO) is seeking a Finance and Administrative Assistant (FAA) for the Integrated Innovations for Sustainable Development Programme based in Zanzibar. This project, funded by the Government of Norway, aims to drive sustainable economic growth, decent work, and reduced inequalities in Zanzibar through systemic climate-sensitive approaches and innovation. The Finance and Administrative Assistant will ensure smooth financial and administrative operations, supporting the success of the Zanzibar Joint Programme (ZJP) and Kigoma Joint Programme (KJP).


Key Responsibilities

As the Finance and Administrative Assistant, you will:

  • Maintain accurate financial records and systems for monitoring project expenditures and transactions.
  • Review, process, and ensure the correctness of financial documentation, including contracts and payments.
  • Prepare correspondence and follow up on queries related to financial matters.
  • Monitor and verify the financial reports of project partners to ensure compliance with ILO rules.
  • Provide financial guidance and support to project staff, consultants, and partners.
  • Consult with the Finance Unit on financial rules and procedures, ensuring staff are up-to-date on new policies.
  • Prepare regular reports and assist in special reports for donors, budget preparation, and audits.
  • Participate in budget analysis and cost estimates for project planning.
  • Assist with organizing workshops, meetings, and other project-related activities.
  • Undertake any other relevant duties as assigned by the supervisor.

Minimum Requirements

Education:

  • Secondary school education completion is required.
  • Formal training in accounting, finance, or administration is an asset.

Experience:

  • At least five years of progressively responsible financial and administrative work experience.

Languages:

  • Fluent in English (both written and spoken).
  • Proficient in Kiswahili.

Skills and Competencies:

  • Deep understanding of financial and administrative rules, guidelines, and procedures.
  • Strong analytical skills with attention to detail.
  • Proficient in Microsoft Office (Word, PowerPoint, Excel) and familiarity with other software like IRIS.
  • Ability to manage and maintain financial records and prepare reports.
  • Responsible and ethical, with strong discretion and confidentiality skills.
  • Ability to work independently and as part of a team in a multicultural environment.
  • Demonstrated ability to communicate effectively and work with diverse stakeholders.

Contract Details

  • Salary: Entry-level salary of 51,835,000 TZS annually.
  • Contract Duration: 1 Year (extensions based on performance and funding availability).
