Position Overview
The Program Assistant will provide critical administrative, logistics, financial, and operational support to the project team in Morogoro. The role involves managing office operations, coordinating logistics, maintaining records, and ensuring adherence to organizational policies, safety, and hygiene standards.
Key Responsibilities
- Logistics and Activity Support:
- Organize and support logistics for project activities, including venue bookings, accommodation arrangements, and procurement of training materials.
- Develop and manage activity budgets and confirm participant attendance.
- Office Management:
- Maintain a clean, organized, and professional office environment.
- Ensure the functionality of office equipment, amenities, and furniture.
- Receive and dispatch correspondence, manage visitor logs, and facilitate professional interactions with visitors.
- Meeting and Event Coordination:
- Schedule and coordinate meetings, including preparing materials, sharing minutes, and arranging refreshments.
- Inventory and Supplies Management:
- Safeguard office and store properties as the primary key holder.
- Receive and issue supplies, maintain accurate inventory records, and oversee proper usage of commodities.
- Travel Coordination:
- Assist with staff travel arrangements, including advance requests, activity itineraries, and vehicle use.
- Administrative Tasks:
- Maintain tracking systems for budgets, procurement, and reports.
- Organize materials for trainings and meetings against provided checklists.
- Register staff and participants for events using paper and digital tools.
- Compliance:
- Ensure adherence to Jhpiego, MOH, USAID, and OSHA safety, hygiene, and security standards.
Qualifications and Skills
- Diploma or higher in Business Administration, Office Management, Storekeeping, or a related field (or extensive relevant experience).
- 2-3 years of experience in office operations within a busy work environment.
- Familiarity with USAID-funded projects, MOH guidelines, and INGOs/CSOs operations.
- Proficiency in Microsoft Office tools (Word, Excel, Email, Internet) and digital tools.
- Experience managing stores and handling medical commodities is desirable.
- Strong interpersonal communication skills, with fluency in English as an advantage.
- Ability to work collaboratively in multi-disciplinary teams, including with government officials.
- Proven skills in planning, negotiation, and problem-solving.
- Self-motivated, adaptable, and comfortable working under pressure.
- Willingness to reside in Morogoro and travel up to 25% of the time.
