Role Overview

The Operations Officer will oversee a variety of administrative, logistical, and communication-related tasks to ensure smooth day-to-day operations. The ideal candidate will demonstrate strong organizational abilities, a solid grasp of basic accounting principles, and the capacity to work independently while managing diverse responsibilities.


Key Responsibilities

1. Communications Management

  • Act as the primary liaison between the company and its clients to ensure smooth communication.
  • Handle and respond promptly to emails, calls, and written correspondence from clients and team members.
  • Manage the preparation and submission of official documents in line with company regulations.
  • Dispatch official letters and documents to designated recipients.
  • Foster positive relationships with clients, suppliers, and stakeholders.
  • Coordinate with delivery services, courier teams, and vendors to ensure safe transportation of materials.

2. Administrative Support

  • Perform routine administrative tasks, including filing, data entry, and document management.
  • Maintain accurate records of staff and clients.
  • Monitor compliance with company policies and processes.
  • Oversee the upkeep of office facilities, ensuring repairs, cleanliness, and safety measures are maintained.

3. Coordination of Resources and Supplies

  • Manage the procurement and distribution of uniforms, equipment, and office supplies.
  • Supervise office cleanliness and maintain inventory levels for necessary items.

4. Assistance with Tax and Accounting Functions

  • Support basic financial tasks such as managing budgets, processing invoices, and tracking expenses.
  • Ensure timely execution of tax payments, municipal fees, and utility bills, including DAWASCO, drinking water, Wi-Fi, and LUKU.
  • Maintain an accurate logbook for all payments and expenditures.

5. Project Acquisition & Supervision

  • Assist in acquiring new projects via e-procurement platforms like NeST and direct outreach.
  • Schedule and conduct site visits to monitor project progress and ensure operational efficiency.

6. Event Coordination

  • Collaborate in organizing marketing events, pop-up sales, and seasonal activities.
  • Ensure smooth execution of events to meet company objectives.

Qualifications and Requirements

  • Advanced Diploma or Bachelor’s degree in Business Management, Accounting, Finance, Business Administration, or a related field from a recognized institution.
  • Ability to multitask and work with minimal supervision while demonstrating flexibility and solution-oriented thinking.
  • Availability to work in hybrid settings (office and site-based) and travel as needed, including outside Dar es Salaam.
  • Strong organizational and interpersonal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with the NeST e-procurement platform.
  • Fluent in English (written and spoken).
  • Capable of managing high-pressure tasks and meeting deadlines.
