Assistant Administration Officer

Victoria Finance Plc (VFP), a prominent microfinance institution in Tanzania, is seeking a qualified candidate for the position of Assistant Administration Officer. Established in 2009 and operational since 2010, VFP continues to empower individuals and businesses through financial solutions.

Position Overview

The Assistant Administration Officer will play a pivotal role in supporting administrative operations to ensure seamless office management. Reporting directly to the Administration Officer, this role involves handling logistical arrangements, organizing office activities, managing records, and maintaining a professional workplace environment.

Key Responsibilities

  • Facilitate day-to-day office management, including meeting schedules, responding to inquiries, and ensuring office supplies are adequately stocked.
  • Develop and maintain a systematic filing system for both digital and physical records.
  • Coordinate and assist with the planning of events, meetings, and staff training sessions.
  • Oversee the setup, arrangement, and maintenance of office furniture, equipment, and supplies.
  • Supervise office cleanliness and address maintenance concerns promptly to ensure a safe work environment.
  • Manage and track facility repairs and follow up on service requests.
  • Support the procurement process by sourcing office supplies and equipment, ensuring quality and cost efficiency, and maintaining an updated inventory of assets.
  • Archive administrative records in compliance with organizational standards.
  • Assist in ensuring adherence to company policies and legal regulations.
  • Facilitate onboarding for new employees, including preparing workspaces and necessary documentation.

Qualifications and Requirements

  • A Bachelor’s degree in Business Administration, Office Management, or a related discipline.
  • At least one year of professional experience in administrative or clerical roles (experience in microfinance or financial services is advantageous).
  • Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, etc.).
  • Knowledge of office procedures and administrative best practices.
  • Exceptional organizational and time-management skills.
