Position Overview
The Operations Administrator will play a key role in supporting the TNC office in Arusha, Tanzania, contributing to the organization’s goals by implementing day-to-day tasks that help achieve our program's strategic priorities. This position will work closely with the Operations Officer and the wider team, helping to ensure smooth operational support across multiple areas, including logistics, events coordination, team management, and procurement.
Key Responsibilities
- Administrative Support: Provide administrative support to meet day-to-day operational needs, prioritize work, and ensure efficiency.
- Fleet & Logistics Management: Manage the Arusha office fleet and supervise transport officers and drivers. Coordinate logistics for team meetings, workshops, and special events.
- Office Cash Management: Handle petty office cash, ensuring timely replenishment following Finance Standard Operating Procedures.
- Event Coordination: Plan, schedule, and organize logistics for team meetings, workshops, and training sessions with partners and government stakeholders.
- Travel Coordination: Coordinate accommodation and travel logistics for both local and international TNC staff and guests.
- Supervision: Oversee volunteers, interns, and temporary staff, providing training, orientation, and ensuring a productive work environment.
- Reporting: Assist in generating reports and managing inventory and office resources.
- Collaboration & Coordination: Collaborate effectively with cross-functional teams and ensure smooth communication between stakeholders.
Qualifications
- Bachelor’s degree and at least 2 years of relevant experience in operations or administration, or equivalent combination of education and experience.
- Proven experience in coordinating administrative processes, organizing time and tasks to meet deadlines.
- Strong business writing, editing, and proofreading skills.
- Ability to work with diverse teams and across cultures, demonstrating excellent communication and collaboration skills.
- Experience in managing logistical processes and events.
- Ability to handle confidential information with professionalism and tact.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks effectively.
Desired Skills and Experience
- Multi-lingual skills and experience working in cross-cultural environments are highly valued.
- Experience managing and supervising staff, interns, and volunteers.
- Strong negotiation skills, with the ability to build relationships and motivate team members.
- Experience in human resources processes or policies.
